What an AI phone receptionist actually does

Six jobs on every call, and not one of them involves a menu. Nobody is ever asked to press one for accounts.

A welcoming timber reception counter with a phone, appointment diary and leafy plant.
A helpful front desk, even when nobody is sitting behind it.

Six jobs, in the order they happen

This is the whole of it. Anything an AI receptionist claims beyond this list is worth asking a hard question about.

It answers

First ring, every ring

There is no hold queue and no engaged tone. Two people can ring the same number at the same moment and both get answered properly, which is the one thing a single receptionist cannot do no matter how good she is.

It greets callers with your business name, in your words. If you trade under a name nobody can spell, it says it the way you say it.

It knows who is ringing

Before it says a word

The caller's number is the first key, and everything it knows about them hangs off it. A regular gets greeted by name and does not have to explain who they are again. An unknown number gets treated as a new enquiry and asked what a new enquiry needs.

If your Xero has them down as owing money, it knows that too, and it can say so without anyone looking it up.

A spoken invoice number never opens an account on its own. The number the person is ringing from is what proves who they are.

It books the real diary

Held before the goodbye

Not a request, not a callback. It reads your live availability mid-call, so the two times it offers are two times that are genuinely free. When the caller picks one it writes the booking back before the call ends.

It always says the weekday and the date together, so nobody turns up on the wrong Tuesday. Google Calendar and Calendly are connected and generally available. If your bookings live somewhere else, tell us what you use and we will quote the integration work.

It puts the right calls through

On your rules, not its own

An AI receptionist that never transfers is just a nicer answerphone. You set the rules once. A burst pipe goes through to whoever is on call. A supplier chasing an invoice goes to the office. A sales call goes nowhere, politely.

If nobody picks up it does not dump the caller into voicemail and hope. It says plainly that it will get someone to ring back, takes a time that suits them, and puts that in front of your team.

It writes everything down

Recording, transcript, summary

Every call leaves a recording, a full transcript and a plain summary. The summary goes to your phone as a text and to your inbox as an email, and into Slack or Microsoft Teams if that is where your team actually looks.

The caller becomes a record in HubSpot, Pipedrive or GoHighLevel rather than a note on the back of a docket. Read a whole call and the text it produced.

It answers texts too

Same number, same agent

Half your customers would rather type it than say it. The same number takes text messages and the same agent answers them, knowing your hours, your services and your diary. A booking made by text lands where a booking made by voice lands.

It will also take a message with a photo attached, which is how most people describe a problem when describing it out loud is hard.

The seven names for one thing

The category has not settled on a word yet, so people shop for it under whichever one they happened to read first.

An AI receptionist answers your business phone, holds a real spoken conversation, takes the caller's details and books the work in. An AI virtual receptionist, an AI phone receptionist, an AI-powered virtual receptionist and an AI answering service are the same product under different names.

An automated receptionist and a digital receptionist usually mean the same thing now, but they used to mean a phone menu, which is a different and much worse experience. That distinction is worth understanding before you buy, and it is covered on the comparison page.

Hear it on your own line

The account opens instantly. Your agent is deployed and trained within 24 hours, so you get to listen to it work before a customer does.
